Administrative Officer

About the role

The Administrative Officer will support the Regional Office for Latin America and the Caribbean (ROLAC) in Panama, reporting to the Finance and Management Officer. The role covers human resources, budget and finance, procurement, travel, and general administration.

Key responsibilities

• Coordinate human resource activities including recruitment, placement, performance appraisal, internships, UN Volunteers and consultancy contracts.
• Lead preparation and implementation of work programmes, monitor budgets, and produce programme reports.
• Oversee procurement processes, vendor management, contract negotiations and asset disposition.
• Manage travel arrangements, settlement of claims and negotiate corporate rates.
• Support office administration, space planning, IT resource provision and data analysis for reporting.

Required profile

• Experience in coordinating HR actions and advising managers on staffing and contractual matters.
• Proven ability to manage budgets, conduct financial reviews and certify payments.
• Knowledge of procurement procedures, contract management and risk assessment of partners.
• Strong organizational skills for office administration and travel logistics.

Required skills

• Proficiency with the UN Inspira recruitment system.
• Ability to prepare and analyse budget reports and financial statements.
• Experience in procurement planning, tender preparation and contract evaluation.
• Data visualization and reporting using charts, tables and graphs.
