Back Office Representative – Logistics Support

About the role

We are seeking an organized, detail‑oriented Back Office Representative to support our logistics operations in Panama City. You will act as a bridge between customers, carriers and internal teams, ensuring shipments are tracked, documented and delivered smoothly.

Key responsibilities

• Monitor and track shipments from pickup to final delivery.
• Provide proactive shipment updates to customers and internal teams.
• Communicate with carriers, drivers and customers via phone, email and messaging platforms.
• Respond to inquiries about shipment status, scheduling, documentation and service requests.
• Maintain accurate shipment records and update the Transportation Management System (TMS).
• Review and verify shipping documents such as Bills of Lading and Proofs of Delivery.
• Assist with appointment scheduling and delivery coordination.
• Support billing processes by reviewing invoices and shipment charges.
• Identify discrepancies, coordinate resolutions and escalate issues when necessary.

Required profile

• Advanced English – spoken and written.
• 1–3 years of experience in customer service, logistics, back‑office operations, dispatch or related fields.
• Strong attention to detail and accuracy.
• Excellent communication, organization and multitasking abilities.
• High school diploma required; Bachelor’s degree preferred.
• Experience with billing, invoicing or accounts support is a plus.
