Procurement & Purchasing Specialist

About the role

Diamond National Realty is creating a new position to own the full procurement cycle for its multifamily property portfolio. The specialist will analyze spend, source vendors, negotiate contracts, issue purchase orders and monitor vendor performance across categories such as landscaping, cleaning, maintenance and more.

Key responsibilities

• Analyze spend by category and property to identify cost trends, budget variances and savings opportunities.
• Source, vet and onboard new vendors, ensuring compliance with pricing, quality, insurance and licensing requirements.
• Negotiate portfolio‑wide contracts and volume pricing to maximize total value for the company.
• Prepare, issue and track purchase orders, coordinating with property managers to confirm needs and timelines.
• Maintain organized records of contracts, pricing agreements, POs and spend data in the procurement system.
• Monitor vendor performance, resolve issues, and replace under‑performing suppliers as needed.

Required profile

• Approximately 3 years of purchasing or procurement experience, preferably in property management or facility services.
• Proven negotiation skills on multi‑property or volume contracts.
• Strong analytical ability to break down spend data and spot savings opportunities.
• Excellent attention to detail in PO preparation, contract terms and pricing verification.
• Organized and process‑driven, able to manage multiple vendor relationships simultaneously.
• Cost‑conscious mindset with a focus on maintaining quality and resident experience.
• Fluent written and verbal English and comfortable working remotely with US‑based teams.

Required skills

• Proficiency with procurement and purchase‑order systems.
• Advanced Excel and/or Google Sheets skills.
• Experience using vendor tracking tools.
