Customer Operations Specialist – Export Services

About the role

The Specialist, Customer Operations supports export operations in Panama by coordinating bookings, shipping documentation, manifests, customs processes, and customer service activities. The role works closely with customers, transportation providers, port personnel, customs authorities, and internal teams to ensure accurate and timely execution.

Key responsibilities

• Create and process export bookings, shipping documents, and manifests within service‑level expectations.
• Complete customs transactions using Panama’s SIGA system and ensure compliance with company, customs, port and regulatory requirements.
• Monitor operational cut‑offs, manage a shared inbox, and support customers, drivers and transportation providers at the Manzanillo location.
• Communicate procedures, processing times, documentation requirements and regulatory restrictions, offering alternatives when needed.
• Identify errors or operational issues, take corrective action and share learnings with the team.

Required profile

• Bachelor’s degree in Logistics, Maritime Transportation, International Trade, Customs, Business Administration, Supply Chain Management or related field (or equivalent experience).
• Experience in customer operations, shipping, freight forwarding, export documentation, customs or port operations, preferably with Panama export processes.
• Ability to communicate professionally in English and Spanish, both verbally and in writing.
• Willingness to work on‑site in Manzanillo during training and to work Saturday mornings and occasional extra hours.

Required skills

• Proficiency with Microsoft 365 applications: Outlook, Teams, Excel, Word and SharePoint.
• Experience using Panama’s Sistema Integrado de Gestión Aduanera (SIGA).
• Familiarity with Adobe Acrobat or similar PDF‑editing tools.
• Knowledge of MIT port platforms such as 4CAT.
• Experience with AI tools like Microsoft Copilot for document review and data validation.
