Financial Operations Specialist

About the role

The client, a U.S.-based home‑care agency, seeks a Financial Operations Specialist to bring structure, accuracy, and visibility to its day‑to‑day finances. Working remotely from Latin America, you will partner directly with the agency owner to manage QuickBooks, support billing and payroll, and ensure timely payments.

Key responsibilities

• Organize and clean up QuickBooks records, categorize transactions, log receipts, reconcile accounts, and flag discrepancies.
• Prepare and track invoices, monitor receivables and reimbursements, and follow up professionally on outstanding payments.
• Coordinate with insurers, state billing contacts, and software providers to resolve billing issues.
• Track service and employee hours, verify supporting records, and assist with payroll preparation and ADP workflows.
• Monitor income, expenses, and bill deadlines; produce clear financial summaries and highlight issues early.
• Learn the agency’s electronic health record and Illinois‑specific billing systems while protecting confidential information per HIPAA.

Required profile

• Bachelor’s or master’s degree in accounting, finance, business administration, healthcare administration, or related field.
• Proven bookkeeping or financial operations experience with strong hands‑on QuickBooks skills.
• Experience cleaning up inaccurate or incomplete financial records and handling invoicing, accounts receivable, and payroll support.
• Familiarity with ADP and proficiency in Microsoft Office tools (Excel, Outlook, Teams, Word).
• Advanced spoken and written English with confidence discussing billing and payments.
• Strong attention to detail, discretion, reliable follow‑through, and verifiable professional references.
• Independent work style, quiet workspace, stable internet, and suitable computer equipment.
