Marine Purchasing Coordinator

About the role

You will ensure that vessels calling at ports across Latin America and the Caribbean receive the right supplies on time. Acting as the link between ship crews, local agents and suppliers, you will manage the end‑to‑end procurement process for provisions, spare parts and technical equipment.

Key responsibilities

• Source and quote ship supply items—including provisions, deck, engine and cabin stores, safety equipment and technical spares—in ports throughout the Americas.
• Identify, qualify and maintain a network of reliable local suppliers and agents country by country.
• Negotiate prices, availability and lead times, and coordinate deliveries alongside ship agents, trucking companies and customs brokers.
• Arrange forwarding, consolidation, in‑transit and bonded shipments when goods move between countries.
• Handle customs, import and port documentation requirements for each jurisdiction.
• Keep quotes, purchase orders and delivery status up to date in the company system and inform sales teams and customers.
• Resolve urgent issues when vessel schedules change.

Required profile

• Proven experience in regional purchasing for ship supply, ship chandlery, port agency or marine logistics.
• Established network of suppliers and agents in Latin American and Caribbean ports.
• Strong understanding of alongside deliveries, customs procedures and in‑transit logistics across different countries.
• Fluent in English and Spanish (both spoken and written); Portuguese is a plus.
• Organised, persistent and calm under pressure, able to manage multiple vessels and time zones.
• Based in Panama and legally authorised to work in Panama.
