Logistics & Documentation Coordinator

About the role

The Logistics & Documentation Coordinator ensures that all inbound freight from China reaches Carnival's markets on time, fully documented, and compliant with local regulations. Working within the purchasing team, this role collaborates closely with the China Operations team, internal departments, and external partners.

Key responsibilities

• Coordinate inbound sea and air shipments from China, selecting freight modes based on timelines and cost.
• Book freight with carriers and forwarders, track containers from origin to final delivery, and monitor delivery schedules across multiple production waves.
• Prepare and manage customs documentation for imports into Panama and distribution across Central and South American markets, ensuring compliance with each country’s regulations.
• Handle special customer shipment requirements such as labeling, shipping marks, and packaging instructions, communicating them to suppliers.
• Maintain organized records for every shipment and produce logistics reports on status, costs, and delays for internal review.

Required profile

• Experience in logistics, freight forwarding, or supply chain coordination, preferably with import/export to Panama and the surrounding region.
• Strong organizational abilities to track multiple shipments and deadlines simultaneously.
• Clear communication skills in English, comfortable working with China‑based suppliers and local carriers.
• Based in Panama City and able to work on‑site full time.

Required skills

• Proficiency in Microsoft Excel.
• Experience with logistics or ERP software.
• Ability to prepare customs documentation such as commercial invoices, packing lists, bills of lading, and certificates of origin.
