Logistics Coordinator

About the role

The Logistics Coordinator – Advisor Partnerships supports UJV’s growth by handling all logistical aspects of business development initiatives. Working closely with the Head of Business Development and Directors, the coordinator ensures events, familiarisation trips, client gifting and reporting run smoothly, strengthening relationships with luxury travel advisors worldwide.

Key responsibilities

• Organise company participation in networking events, trade shows and conferences, managing invitations, registrations and event materials.
• Plan and execute Familiarisation (FAM) trips, creating detailed itineraries with flights, accommodation, transport and activities using FamGuru.
• Coordinate post‑trip follow‑up, gather feedback and maintain accurate records of client information, bookings and invoices.
• Support client gifting, webinar preparation (registration, Zoom setup, materials) and special projects for senior leadership.
• Track overrides, manage invoice and agreement records, and generate production reports from Tableau for account reviews.

Required profile

• 2–4 years of experience in coordination, logistics, events or related support roles, preferably in hospitality, travel or business development.
• Strong organisational abilities, attention to detail and the capacity to manage multiple priorities.
• Excellent communication skills and a collaborative mindset.
