Procedure Coordinator – Customer Service

About the role

The Procedure Coordinator ensures patients move smoothly from a medical recommendation to completed care. Working on‑site in Panama City, you will act as the central hub for scheduling, communication, and follow‑up, keeping physicians, case managers, and patients aligned.

Key responsibilities

• Coordinate and confirm medical procedures and related appointments.
• Communicate with patients, physicians, case managers, medical facilities, and internal teams via phone, text, and email.
• Track authorizations, required documentation, and appointment confirmations.
• Guide patients through scheduling, preparation instructions, and post‑procedure follow‑up.
• Maintain accurate records, notes, status updates, and communication logs in internal systems.
• Manage multiple patient cases, identify scheduling concerns, and propose practical solutions.
• Handle rescheduling and follow‑up to prevent treatment delays.
• Protect patient confidentiality and adhere to company policies.

Required profile

• Bachelor’s degree (completed or in progress).
• Advanced English proficiency (minimum C1, spoken and written).
• Exceptional attention to detail, organization, and problem‑solving abilities.
• Self‑starter who can work independently without constant supervision.
• Ability to manage multiple cases, deadlines, and competing priorities.
• Compassionate, patient‑focused attitude and calm under changing schedules.

Required skills

• Proficiency with electronic medical records (EMR) systems.
• Experience using scheduling platforms.
• Basic computer applications (email, text messaging, office software).
