Order Processing & Inventory Coordinator

About the role

The Order Processing & Inventory Coordinator manages end‑to‑end website order fulfillment, from order entry through shipment and invoicing. This role ensures timely and accurate delivery by coordinating purchasing, inventory allocation, vendor fulfillment, and warehouse operations.

Key responsibilities

• Enter and process customer orders in the ERP system.
• Determine fulfillment method based on inventory availability and vendor capabilities.
• Create purchase orders and release orders for shipment.
• Coordinate with vendors, sales, and customer service to resolve fulfillment issues.
• Prepare shipping documentation and parcel shipping labels.
• Ensure orders are shipped, invoiced, and closed accurately in company systems.
• Submit promotional rebate claims and track reimbursement payments.
• Coordinate inventory receiving and customer returns with 3PL warehouse providers.
• Schedule inbound shipments with vendors, carriers, and 3PL partners.
• Resolve receiving issues such as shortages, damages, or refused shipments.
• Maintain accurate inventory records across company and 3PL systems.
• Perform regular inventory reconciliations and resolve discrepancies.
• Verify shipments and close orders based on 3PL warehouse manifests.

Required profile

• Experience with order processing, purchasing, and inventory management.
• Logistics experience preferred.
• Proficiency with ERP systems.
• Proficiency in Microsoft Excel.
