Boarding Officer – Vessel Agency Services

About the role

The Boarding Officer will coordinate and execute vessel agency services to ensure safe, efficient, and cost‑effective port calls, canal transits, cargo and bunker operations. Based in our Panama Pacifico office, you will act as the primary liaison between vessels, owners, port authorities and service providers.

Key responsibilities

• Coordinate vessel port calls, canal transits, cargo operations, and bunkering activities.
• Liaise with masters, owners, operators, authorities and service providers to ensure smooth execution.
• Monitor schedules, arrivals, departures and provide timely updates.
• Prepare and submit pre‑arrival, transit and port call documentation in compliance with regulations.
• Board vessels at port or anchorage when required and represent the company professionally.
• Arrange ancillary services such as sludge disposal, garbage removal, freshwater supply and crew support.
• Organise ship repairs, technical attendance and third‑party services.
• Identify and mitigate potential delays, disruptions and additional costs.
• Maintain accurate records, incidents and service delivery documentation.
• Prepare Statements of Facts and operational reports for customers.
• Promote safety culture and contribute to continuous improvement initiatives.

Required profile

• Diploma, degree or equivalent in Maritime Studies, Shipping, Logistics, Business Administration or related field (preferred).
• Previous experience in ship agency operations, vessel boarding, port operations or maritime services.
• Experience coordinating port calls, cargo operations, canal transits or bunkering is highly desirable.
• Fluent in English and the local language, both written and spoken.
• Valid driving licence and clean background record.
• Proficiency with digital tools, mobile technology and standard business software.
