Back Office Representative

About the role

Circle Logistics is seeking a Back Office Representative to support daily logistics operations. In this role you will act as a bridge between customers, carriers, and internal teams, ensuring shipments are monitored, issues are resolved quickly, and records stay accurate.

Key responsibilities

• Monitor and track shipments from pickup to final delivery, providing proactive updates.
• Communicate with carriers, drivers, and customers via phone, email, and messaging platforms.
• Respond to customer inquiries about shipment status, documentation, scheduling, and service requests.
• Coordinate with internal departments to resolve operational challenges.
• Maintain accurate shipment records and update the Transportation Management System (TMS) in real time.
• Review and verify shipping documents such as Bills of Lading (BOLs) and Proofs of Delivery (PODs).
• Assist with appointment scheduling and delivery coordination.
• Support billing processes by reviewing invoices, verifying charges, and identifying discrepancies.
• Escalate service issues and delays as needed.

Required profile

• Strong customer‑service orientation and ability to resolve issues promptly.
• Experience with billing and invoicing processes is a strong advantage.
• Excellent communication skills, both written and verbal.
